The Cost of Business Downtime

We’ve all experienced the headaches: “The server is down,” “I can’t print,” “Email won’t send,” “The computer won’t boot,” etc. When problems happen at home, a little lost Facebook time can actually be a good thing, it can give you a chance to read, spend time with family or tackle projects that have been put off repeatedly. But when computer problems happen at work, the toll computer downtime takes on a business can be catastrophic.

Computer Headaches

When you consider how much businesses rely on computers and electronic data these days, it’s easy to see how losing that data can cost a business big time. If one hard drive crashes among many employee computers, you might think that one small failure isn’t such a big deal, but unless the work data was backed up to external media or saved on a server, the loss of project work could set that employee back days, weeks or months.

If a server crashes, it could have even worse consequences for a business. An e-mail server that contains pertinent contact data for contractors and clients or collaborative project information is an essential tool for most businesses because of the convenience and speed of information sharing. But if there are unknown problems with the server or backup method, data loss and corruption are lurking around every corner. If a company stores its financial records electronically, losing access to that information can cost money and losing the data permanently can destroy a business.

In addition to all of the scary, data-loss scenarios, employees who have to spend a significant time working around computer problems and quirks are costing the company money every moment they aren’t working.  Every trip a user has to take to a printer across the office costs a company. Working around software bugs or having to burn data to disc and run it across the office is all time on the clock that is being wasted to computer inefficiency.

The best solution to all of these problems is preventative maintenance. By examining all the computers and devices on a business network, trained technicians can see potential problems before they cost the company money. Putting policies in place for data backup and redundancy before anything bad happens is the only way to ensure that critical information isn’t corrupted or lost for good.

Regularly looking at how efficiently your employee’s interact with technology could save your company a lot of money in the long run. By auditing the way they use in-place systems and ensuring that all devices are operating at full capacity, time lost to technology hassles can be minimized to the occasional critical failure.

When a critical failure occurs, it’s best to have a redundancy plan in place to get a user, group of users or the whole business network back on its feet as soon as possible. Many companies have an if-it’s-not-broken-why-spend-money attitude toward their computers. They often forget to consider how much it costs to have emergency service performed while an entire office is down or the high price of rush-shipping parts to fix servers or printers. Being purely reactionary to problems is a big waste of money if preventative maintenance can solve these issues beforehand or prepare a company for the (unavoidable) random failures.

This is why having an outside IT company regularly examine and consult on preventative solutions is critical to any business. A small team of in-house technicians is great for deploying new devices or dealing with the day-to-day “can’t print,” “can’t connect to the Internet” type of problems, but in a crisis they often find themselves understaffed for fast, efficient response. For many small businesses, it doesn’t make sense to employ a full-time technician, and this is where outside IT is the most essential. Outside IT can respond quickly with as many technicians are needed to recover from disasters when they happen and can put fail-safe plans into effect that eliminate or minimize money-wasting downtime and catastrophic data loss.
